Position Overview:
This well-established 10-attorney law firm in Chicago is among the oldest in the city. The firm specializes in litigation before federal and state courts, administrative agencies, and arbitrators and is currently seeking a highly organized and detail-oriented Litigation Legal Assistant to join their team. This position will suit an individual who thrives in a team-based environment and excels in managing multiple deadlines in a fast-paced legal setting. The role involves supporting attorneys with tasks related to litigation, arbitration, and overall case management to ensure the firm meets its clients' goals efficiently and effectively.
Key Responsibilities:
- Drafting, Editing, and Proofreading: Prepare, review, and revise legal documents such as pleadings, briefs, large exhibits, trial notebooks, and correspondence to ensure accuracy, clarity, and compliance with court and arbitration requirements.
- Transcription and Dictation: Perform extensive transcription work, including formatting lengthy legal briefs dictated by attorneys in preparation for arbitrations (about three arbitrations per month). Ensure timely document proofing, revisions, and updates to meet critical deadlines.
- Docketing, Scheduling, and Calendaring: Manage court dates, deposition scheduling, and meetings. Maintain detailed calendar tracking to prevent any scheduling conflicts and ensure attorneys are fully prepared for court appearances, depositions, and meetings.
- E-Filing Procedures: Handle electronic filings through various systems, including Federal Courts, State Courts, EEOC, and other administrative agencies, adhering strictly to submission deadlines and technical requirements.
- Arbitration Support: Assist attorneys with pre-arbitration preparation, from transcribing legal briefs to organizing exhibits and trial notebooks in anticipation of hearings. Collaborate in meeting specifications established by arbitrators.
- Team Collaboration: Work alongside attorneys and office staff to balance priorities, build consensus, and maintain the firm’s commitment to teamwork, while navigating varying personalities and work styles.
- Attention to Detail: Exhibit absolute precision in document drafting, proofreading, scheduling, and overall litigation support to ensure all work is error-free and professionally executed.
Desired Qualifications:
- Associate’s Degree in Paralegal Studies or Bachelor’s degree with Paralegal certification strongly preferred.
- 3–5 years of prior experience as a litigation assistant or paralegal, particularly in employee benefits, employment law, labor law, or workers' compensation settings, is highly desirable.
- Advanced proficiency in transcription and dictation tools.
- Familiarity with E-filing systems and procedures across federal, state, and administrative courts.
- Exceptional organizational and time-management skills, with the ability to juggle competing deadlines.
- Strong attention to detail and excellent writing/editing skills.
- Proficiency in Microsoft Office Suite and other litigation-specific software systems.
- Ability to work effectively within a team environment and establish harmonious working relationships with various personalities.
