Our client, a global full-service law firm with over 500 attorneys in the U.S. and internationally, seeks a Senior Executive Legal Assistant to join their team. This integral role provides high-level administrative and executive support to multiple attorneys, enabling the seamless management of their practices. The right candidate will demonstrate professionalism, discretion, and meticulous attention to detail while managing confidential matters.
Key Responsibilities
- Prepare, format, and edit complex legal documents such as wills, trusts, powers of attorney, limited liability agreements, and other Private Wealth-related documents.
- Create, proofread, and finalize correspondence, memoranda, and other communications with a high standard of accuracy.
- Maintain attorneys' calendars, scheduling appointments, meetings, and conference calls across multiple time zones.
- Manage inbound and outbound communication, including answering and screening calls, relaying messages, and professionally interacting with clients and their advisors.
- Open new matter engagements, coordinate conflict checks, and draft engagement letters following the firm’s protocols.
- Maintain and organize both physical and digital client files, ensuring timely filing, updates, and adherence to firm-approved procedures.
- Liaise with assigned billers to prepare, review, and edit billing statements for accuracy and timeliness.
- Input and oversee attorney time entries in the firm’s timekeeping system as necessary.
- Coordinate travel, prepare itineraries, and submit attorney expense reimbursements in line with the firm’s accounting processes.
Qualifications and Skills
- 5 years of legal secretarial experience, ideally within a Private Wealth, Trusts, or Estates practice.
- Advanced proficiency in MS Word with the ability to handle heavily formatted documents, alongside experience in legal software systems such as iManage and Outlook.
- Strong organizational skills for client project tracking, record-keeping, and file management.
- Exceptional communication abilities to interact with clients, attorneys, and external stakeholders with professionalism and accuracy.
- Attention to detail, initiative, and the ability to prioritize tasks in fast-paced, deadline-driven environments.
- 65 WPM typing speed minimum and ability to occasionally handle physical tasks like lifting up to 20 lbs.
