About the Role
BayWa r.e. Americas is seeking an Operations Site Admin to join our IPP team. The Operations Site Administrator is responsible for overseeing the day-to-day administrative and operational functions of a site or facility. This role ensures that all site operations run smoothly and efficiently by managing administrative tasks, maintaining records, and coordinating with different departments. The Operations Site Administrator acts as a liaison between site personnel and upper management, ensuring clear communication and the efficient execution of operational strategies. Key responsibilities include managing office supplies, handling visitor management, supporting health and safety initiatives, assisting in scheduling and planning, and ensuring compliance with company policies and procedures. This position is vital for maintaining a well-organized, safe, and productive work environment.
Responsibilities
- Manage daily administrative tasks, including answering phone calls, handling correspondence, maintaining office supplies, and budget tracking.
- Coordinate site meetings, prepare agendas, and take minutes as needed.
- Maintain accurate and up-to-date records for site operations, safety records, and inventory logs.
- Oganize and track spare parts inventory including digital systems tracking.
- Manage the filing system, both digital and physical, ensuring confidentiality and compliance with data protection regulations.
- Listen, record, and document project community neighbors’ feedback, concerns and complaints.
- Coordinate with vendors and service providers for site maintenance, repairs, and other services.
- Provide onsite safety training for contractors.
- Support Facility manager as needed.
Qualifications
- High school diploma or equivalent; associate’s or bachelor’s degree in business administration, operations management, or a related field preferred.
Required Skills
- Proven experience in an administrative or operational support role, preferably in a site-based environment.
- Strong organizational skills with the ability to manage multiple tasks and priorities.
- Excellent communication and interpersonal skills.
- Proficiency in Microsoft Office Suite (Word, Excel, Projects, PowerPoint and Adobe) and other relevant software.
- Knowledge of health and safety regulations and best practices.
- Knowledge and experience working under the requirements of the local, state, and federal environmental laws and regulations preferred.
- Excellent English in writing and speaking; second language beneficial but not required (Spanish, German).
- Ability to work independently and as part of a team.
Pay range and compensation package
Total compensation package dependent upon a number of factors, including candidate’s professional experience, candidate’s skills, position’s seniority level, department’s hiring budget, and position’s location.
