Responsibilities The Loan Administration Officer will provide oversight and leadership in managing the bank’s loan servicing portfolio, ensuring that all loan products are administered in accordance with bank policy, regulatory requirements, and industry best practices.
The role is responsible for ensuring operational integrity across the loan subsystem by proactively identifying potential risks, overseeing system testing, and implementing procedural enhancements.
A primary responsibility will be to ensure accuracy and compliance in interest accruals, transaction postings, escrow administration, and monitoring codes, preventing errors that could impact customer accounts, financial reporting, or regulatory standing.
The Officer will act as a liaison between Operations, Compliance, Audit, and IT to ensure systemic and procedural issues are resolved promptly and sustainably.
Obstacles Regulatory Complexity – Navigating changing state and federal lending regulations while ensuring full compliance across multiple loan products.
High-Level Problem Solving – Addressing complex servicing exceptions, escalated customer issues, or system irregularities that require cross-departmental coordination.
Portfolio Oversight – Managing risk across a diverse loan portfolio while maintaining quality controls, accuracy, and timely reporting.
Process Improvement – Identifying inefficiencies and implementing streamlined procedures without disrupting ongoing operations.
Team Coordination – Overseeing and guiding team members and other servicing staff to ensure consistent performance and adherence to standards.
Actions Leadership & Oversight
Provide strategic direction for loan servicing activities, ensuring operational goals are met and exceeded.
Regulatory & Compliance Monitoring
Stay abreast of all lending regulations, ensuring that servicing processes meet or exceed compliance requirements.
Risk Management
Conduct regular risk assessments, review system controls, and implement preventative measures to mitigate operational or financial risk.
Training & Mentorship
Support the development of servicing staff through ongoing training, coaching, and performance feedback.
System Optimization
Lead testing and evaluation of loan servicing systems, collaborating with IT to ensure accurate and efficient processing.
Escalation Resolution
Serve as the point of contact for high-level escalations, ensuring prompt and satisfactory resolution.
Results Regulatory Compliance
Achieve and maintain 100% compliance in audits and regulatory reviews, with zero findings related to loan servicing processes.
Operational Accuracy
Maintain a 99.9%+ accuracy rate in loan servicing transactions, with significant reduction in recurring errors or exceptions.
Timely Portfolio Reporting
Ensure all daily, monthly, and quarterly loan reports are completed accurately and on time, supporting executive decision-making.
Error & Risk Reduction
Reduce operational exceptions and servicing-related complaints by a measurable percentage year-over-year.
Process Efficiency
Implement at least two major process or system improvements annually that result in measurable gains in productivity or service quality.
Team Development & Retention
Achieve high employee engagement scores and low turnover among servicing staff through effective leadership and support.
