Our client is looking for a Receptionist to manage the day to day workings of their office. As a Receptionist, you will be the first point of contact for visitors and vendors at this vibrant company and coordinate smooth daily operations with building management and offsite corporate partners. In addition, you will be responsible for event planning and management and a core partner in our marketing strategy, managing internal and external marketing materials.
To be successful as a Receptionist, you should maintain a high degree of professional presence as the “face of the organization” . Other valuable skills to bring to the table are multitasking, a high degree of organizational and prioritization skills, and a passion for event planning and social media management.
Responsibilities:
- Receiving daily visitors at the front desk by greeting, welcoming, directing and announcing them appropriately.
- Lead office tours with candidates
- Manage vendor relationships, acting as the primary point of contact to ensure effective communication and coordination.
- Coordinating company outings (concerts, sporting events, restaurants, etc.)
- A leader of the Culture Committee, leading a volunteer team in scheduling inhouse corporate events (guest speakers, happy hours, lunches, etc.)
- Work with building management and housekeeping to keep the offices neat, tidy and functional
- Collaborate with the corporate marketing team to develop a marketing strategy and manage social media to ensure consistent messaging across all channels.
- Coordinate internal communications, including email updates, digital signage, and monthly newsletters
- Oversee the issuing of corporate badges and guest/vendor building registration
- Provide basic and accurate information in-person and via phone/email
- Receive, sort and distribute daily mail/deliveries
- Maintain office security by following safety procedures and controlling access via visitor and vendor management protocols and leading regular building safety and security drills
- Order front office supplies and keep inventory of stock
- Update calendars and schedule meetings
- Work with company owners to maintain monthly employee experience budgets
Requirements and skills:
- Work experience as a Receptionist, Office Manager, Host or similar role
- Proficiency in Microsoft Office Suite
- Professional attitude and appearance
- Experience generating professional social media content
- Event planning experience is a plus
- Solid written and verbal communication skills
- Ability to be resourceful and proactive when issues arise
- Excellent organizational skills
- Multitasking and time-management skills, with the ability to prioritize tasks
- Customer service attitude
- High school degree or additional certification in Office Management is a plus
Work schedule is Monday through Friday, 7:30am to 4:30pm with occasional evening and weekend support required. This role reports to the Director of Human Resources and regularly collaborates with Executive Leadership and Recruitment.
