James Pymont, Managing DirectorAbout the RoleWe are seeking a highly organised and detail-oriented Administrator & Logistics Assistant to support the day-to-day operations of Bid for Wine and Forum Fine Wine.The successful candidate will work across both businesses, supporting a peer-to-peer wine marketplace alongside a fine wine brokering and auction business.
This varied role offers exposure to wine trading, logistics, client services, auctions, and e-commerce operations within a fast-paced and specialist sector.The ideal candidate will have previous experience in administration, logistics, wine operations, or a related field, and be comfortable working in a dynamic environment where attention to detail and strong organisational skills are essential.This role would particularly suit someone with 2+ years’ experience in a similar position, ideally within the wine, luxury goods, storage, logistics, or auction sectors.Key ResponsibilitiesAdministrative SupportMaintain accurate records of inventory, consignments, and client informationAssist with cataloguing wines for auction, including data entry and proofreadingPrepare invoices, shipping documents, and internal reportsArrange delivery of winning lots and merchant ordersUpdate and manage stock records using internal inventory systemsLogistics CoordinationCoordinate incoming and outgoing wine shipmentsLiaise with warehouses, couriers, and clients to ensure timely deliveries and collectionsTrack shipments and resolve logistical issues or delaysAssist with stock control, storage organisation, and condition checksSupport wine storage and warehouse logistics operationsPack and prepare wines securely for shipment and collection Organise deliveries and collections with couriers and storage providers Assist with the physical handling and movement of wine cases and stock as required (manual handling involved)Auction & Sales SupportAssist in the preparation and execution of wine auctions (online and/or live)Coordinate lotting, labelling, and movement of wines for salePhotograph bottles for listingsSupport online sales administration and website stock updates where requiredClient InteractionRespond to client enquiries via email and phone in a professional mannerAssist with valuations and general client administrationSkills & ExperienceEssentialMinimum 2 years’ experience in an administrative, logistics, or operations roleStrong organisational skills and exceptional attention to detailGood written and verbal communication skillsProficiency in Microsoft Office, particularly ExcelAbility to multitask and work to deadlines in a fast-paced environmentProactive, reliable, and professional approachDesirablePrevious experience within the wine trade, wine storage, or wine logisticsExperience using LCB stock management systems or similar inventory management softwareFamiliarity with Wine Hub and WooCommerce platformsAuction industry knowledge or previous auction experience desirableFamiliarity with inventory or database systemsInterest in wine, luxury goods, or the auction industryPersonal AttributesTeam player with a hands-on approachStrong problem-solving mindsetProfessional and client-focused demeanourAdaptable and willing to take initiativeHow to ApplyPlease submit your CV and a brief cover letter outlining your relevant experience and interest in the role and the wine industry to Vicki Wonfor
